Overview

DocNote is a clinic workflow app for doctors to manage patient records, medical notes, appointments, home visits, co-worker access, and backups. This policy explains what data is handled by the DocNote admin portal and what data remains under the doctor's control on their device or backup storage.

Information Stored By The Admin Portal

The DocNote admin portal stores information needed to operate doctor accounts and subscriptions:

• Doctor account details such as name, email address, clinic name, and login credentials.
• Email verification, password reset, and authentication records.
• Subscription, plan, payment, referral, and renewal information.
• Registered device identifiers used for mobile app access and subscription verification.

Clinic And Patient Data

Patient records, clinical notes, patient timeline messages, appointments, home visits, attachments, photos, and co-worker records are stored primarily on the doctor's mobile device. The admin portal is not intended to be the source of truth for clinic medical records.

Backups

Doctors may create backups to their own Google Drive, phone storage, or a selected local/OTG folder. Backup files can include clinic and patient data entered into the mobile app. Google Drive backups are stored in the doctor's Google account under the app backup area. Local backups are controlled by the doctor on the storage location they select.

How We Use Information

We use information to provide and maintain DocNote services, including:

• Creating and managing doctor accounts.
• Verifying login and subscription status.
• Processing payments and renewals.
• Supporting mobile app access, offline subscription verification, and device registration.
• Responding to support, deletion, or account requests.

Data Sharing

We do not sell doctor, clinic, or patient data. We may process data through service providers needed to operate DocNote, such as hosting, email delivery, payment processing, and Google services selected by the doctor for backup. Those services are used only for expected app functionality.

Security

DocNote uses reasonable technical safeguards such as HTTPS for portal communication, secure local device storage for sensitive mobile state, signed offline subscription licenses, and encrypted backup handling in the mobile app. No system can be guaranteed to be completely secure, so doctors should protect their device, Google account, and backup locations.

Data Deletion

Doctors may request deletion of admin portal account and subscription data by contacting DocNote support. Clinic and patient data stored on the doctor's device or in the doctor's backup storage must also be deleted by the doctor from those locations if they want it removed.

DocNote is a record-keeping and clinic workflow tool. It does not diagnose, prescribe treatment, or replace the professional judgment of a qualified medical practitioner. Doctors are responsible for data entry, clinical decisions, patient consent, and compliance with laws applicable to their practice.
